How to backup email with AOMEI Backupper
Backing up the email data is a crucial measure that ensures the security, integrity, and reliability of your email data. Whether you are an individual user or an enterprise, regular email server backups are a prudent practice. Doing so helps prevent data loss and allows for easy email data recovery, ensuring work efficiency and data security.
AOMEI Backupper offers an Email Backup feature, which can help you back up emails from Email Server easily. It supports most mainstream mailboxes, including Gmail, Outlook, Yahoo, iCloud Mail, AOL Mail, Mail.ru, Yandex, Zoho Mail, and so on.

Prerequisites for Email Backup
Download and install AOMEI Backupper on a Windows computer and ensure network connectivity.
A target location (with enough free space) that you can save backups to. A local path or Share/NAS devices are supported.
It is a paid feature to back up emails, so please upgrade to AOMEI Backupper Professional or other editions based on your use environment.
AOMEI Backupper supports backup for multiple mailbox types. Next, we will introduce Gmail backup as an example to show detailed steps.
Step 1: Initiate Email Backup
In the left tab page, select “Backup” followed by “Email Backup”.
You can name the task on the "Task Name" box to help you distinguish it from other backups.
Step 2: Add Email Data
Click "Add Email Data" to add emails you want to back up.
For the common Gmail, please check how to add Gmail.
For other mailboxes, please refer to "How to add a mailbox for email backup in AOMEI Backupper".
Important: For some email servers, like Gmail, you need to first enable an app password and then add it in AOMEI Backupper.
After the mailbox is added, it will list all directories of your mailbox, including Inbox, Starred, Sent Mail, Trash, and so on. It is the same structure as your official mailbox. Please select the whole mailbox or part directories you want to back up, then click "OK".
Tips:
- If you add multiple mailboxes, you can also select multiple mailboxes at the same time.
Step 3: Select Destination Path
Select or type into the destination path to store the backup image file.

- Compression Level: Choose the desired compression level to optimize storage space usage while maintaining backup integrity.
- Encryption: Secure your backup by enabling encryption, which protects backup from unauthorized access.
- Splitting Image: Split large backup files into smaller segments for easier storage and compatibility with Different Storage Devices.
- Email Notification: Receive email notifications to stay informed about the status and completion of backup tasks, ensuring peace of mind and proactive monitoring.
Schedule Backup: Since systems and data are constantly changing, you can set up scheduled backups to automatically back up the system at specified intervals. You have the flexibility to choose from daily, weekly, or monthly backups. In the paid version, you can also utilize event triggers or initiate backups upon USB plug-in.
Backup Scheme: With backup schemes, you have the option to choose between incremental and differential backup methods. Incremental backup captures only the changes made since the last backup, while differential backup captures the changes since the last full backup. This flexibility allows you to efficiently manage backup storage. Additionally, the paid edition can automatically delete older backup images to free up disk space, ensuring optimal utilization.
Step 4: Start Backup
Select the “Start Backup” button to begin the backup process.
Step 5: Finish Backup
And, click ”Finish” once the process has been completed.
Notes:
- When the backup process starts, you can click the icon in the lower left corner to check backup integrity and/or Shut down/Restart/Hibernate/Sleep PC after the backup is completed.
- Backup operations cannot be performed when the system is not logged in. So, if you set the schedule backup, please confirm the system is logged in before schedule backup starts.
